The short version

“Delivered” answers the smallest question.

  • 01Accepted means a receiving mail system took responsibility for the message.

The receipt

When you buy something, the receipt matters. It proves the shop accepted your money. It does not prove the thing you bought works, that you will use it, or that it will improve your life.

Email delivery is like that. The receiving server gives the sending server a successful response. In SMTP, that response creates a formal handoff of responsibility. The SMTP standard is precise about this: after acceptance, the receiver owns either delivering the message or reporting a later failure.

This is not a trivial event. It tells you the address was not rejected at that moment and the next system agreed to take over. Without it, nothing downstream can happen.

But a handoff is not a destination. The receiving system may still route the message to a primary inbox, a promotional tab, junk, quarantine, or a folder the recipient never checks. A dashboard that turns the handoff into a green “delivered” total has quietly changed the meaning of the event.

The receipt proves the handoff. It does not prove the destination.

Our introduction to Moosewave began with one stubborn question: after a campaign was accepted, where did it actually land? This is the deeper reason for asking it.

One campaign produces four different facts

Most email reporting becomes easier to reason about when you stop treating it as a single funnel. A campaign produces at least four kinds of evidence, each owned by a different part of the system.

Notice the language in the middle two rows. Placement is observed, often through a representative seed panel. Attention is inferred. Honest measurement becomes more useful when its verbs reveal the boundary of the evidence.

The easiest number usually wins

Teams do not choose delivery rate because they are careless. They choose it because it arrives quickly, covers the whole send, and looks exact. Those are attractive properties. They are not the same as relevance.

Suppose 98% of a campaign is accepted. It is tempting to say the campaign reached 98% of the audience. But the data only says that the immediate receiving systems accepted 98% of the handoffs. The distance between those sentences contains most of deliverability.

Mailbox providers continue making decisions after authentication. Google’s current sender guidelines connect expected delivery with authentication, DNS, TLS, complaint rates, message format, sending patterns, and recipient feedback. Passing SPF, DKIM, and DMARC is necessary hygiene. It is not a reservation in the primary inbox.

The danger is operational. If “delivered” is treated as the result, a weak campaign can look healthy. The team optimizes copy, timing, and offers while the real problem is that an important provider is placing the message out of sight. Precision around the wrong event creates confident mistakes.

Visibility is a separate system

Inbox placement is not a permanent quality attached to a sender. It is a decision made repeatedly, in context. The mailbox provider sees the sender’s authentication, reputation, recent volume, complaint history, content, recipient relationship, and other signals. The sender sees only part of that decision.

Controlled seed testing narrows this blind spot. You send the campaign to a maintained panel of mailboxes and record where each copy appears. This is evidence, not omniscience. A seed is not your recipient, and a panel is not your entire audience. But observed placement by provider is much closer to the actual question than server acceptance alone.

That boundary matters. A good report says “observed in the inbox for these seed mailboxes,” not “every subscriber saw it.” The goal of measurement is not to remove uncertainty by changing the label. It is to reduce uncertainty enough to make the next decision better.

Measure the question you are trying to answer

The cure is not one superior metric. It is a small stack of metrics whose meanings do not overlap.

    Did the infrastructure accept it?

    Read SMTP responses, hard bounces, soft deferrals, and authentication results. Segment them by receiving provider and sending stream.

    Where was it observed?

    Compare seed placement across the mailbox providers and message types that matter to your audience. Treat the result as a sample with a visible scope.

    Did a person show intent?

    Use opens as a directional signal, not a headcount. Apple Mail Privacy Protection can prevent senders from learning whether a message was opened, and automated fetching can also distort the event.

    Did the business outcome happen?

    Track replies, qualified clicks, conversions, renewals, and other events tied to the campaign’s actual job. State the attribution window and model.

    What should change next?

    Turn the evidence into one decision: pause a segment, adjust volume, repair authentication, change the message, or keep the system steady.

The product consequence

A product reveals what it believes by what it places beside each other.

If campaign composition is far from audience health, people send to contacts they should have suppressed. If revenue reporting is far from attribution assumptions, estimates harden into facts. If delivery events are far from placement evidence, acceptance starts masquerading as arrival.

That is why deliverability is part of the campaign workflow rather than a separate diagnostic visited only after something goes wrong.

Does a delivered email mean it reached the inbox?

No. A delivered or accepted status normally means the receiving mail system accepted responsibility for the message. The system can still place it in the inbox, a tab, junk, quarantine, or another folder.

What is the difference between delivery and inbox placement?

Delivery records the receiving server’s response to the handoff. Inbox placement asks where the mailbox provider put the message after acceptance. They answer different questions and should be reported separately.

Are email open rates still useful?

They can be a directional diagnostic, but not a clean count of human attention. Privacy protections, image caching, and blocked pixels can create or suppress opens. Replies, clicks, conversions, and other business events are stronger evidence of action.

How can a team measure inbox placement?

Use controlled seed inboxes across the providers and mailbox types that matter to your audience, record observed placement, and interpret the sample alongside authentication, reputation, complaints, bounces, and recipient behaviour.
